  • Manage the employee ID and employee key card process ensuring that all employees have the correct security level 
  • Oversee company security, responsible for managing the company alarm system to include all video surveillance and 
    communication and interaction with the Building Security management team.
  • Oversee Receptionist and all Reception area responsibilities. Manage the Receptionist building a front desk environment 
    that is welcoming and inviting.
  • Manage and supervise the Facilities team. Maintain regular personal attendance for all scheduled employees per the Policy.
  • Perform daily floor inspections to identify problem areas and necessary repairs and clean up areas. Prepare for all client visits.
  • Proactively work with vendors and the Building to complete necessary repairs or schedule repairs with vendors as 
  •  Inspect and provide direction and follow-up with a janitorial service provider and/or regarding cleaning issues that do not meet standards.
  • Report all facility issues that are not immediately repairable to the Building Manager. Ensure consistent maintenance and 
    repair methods for all building components.
  • Develop routine systems to ensure constant monitoring of problem areas such as the temperature, plumbing, etc.
  • Track and monitor Facility Operating Expenses ensuring that budgets are met and spending is on target.
  • Communicate client visits, prepare for client visits by walking through the building ensuring that all floors are clean and organized.
  • Perform monthly inventory reconciliations to gain a clear knowledge of current supply needs, understand what is in stock and what is not in stock. Order supplies as needed and in a timely manner. Secure supplies at all times.
  • Manage all inter-office mail responsibilities for all departments ensuring that mail is picked up and delivered every day in a timely manner.
  • Answer questions and concerns. Maintain vendor relationships.
  • Uphold H&H Business Practice Standards and ensure compliance with company programs.
  • All other additional duties as required


  •  Organized and self-driven. Must be able to work independently and with little direction. Must be able to multi-task and keep track of many tasks at the same time.
  • Bachelor’s degree preferred
  • Demonstrate the ability to independently and effectively manage projects in an extremely fast-paced and changing 
    environment; keep projects on time, deal with a wide variety of challenges, deadlines and work with a diverse array of 
  • Must be able to work with co-workers, customers, vendors, etc. in a professional and non-confrontational manner.
  • Working hours are not confined to weekdays, may also include evenings and weekends as well as on-call for emergency situations.
  • Demonstrate innovative and futuristic thinking to drive continuous improvement.
  • Excellent communication and follow-up skills required
  • Excellent decision-maker, time manager, and problem solver.
